What this covers
This policy explains how The Whole Moment handles information used to create a private celebration experience. It applies to hosts, contributors, and recap viewers.
Stories, photos, and event details
Hosts may provide event details and contributors may submit stories, messages, photos, and other materials through a private contribution link. We use that information to operate the event workspace, help the host collect contributions, create the requested celebration materials, and provide a private recap when the host enables one.
Founding celebration applications
If you apply for a founding celebration, we use the application details to review and respond to your application and, if selected, plan the celebration. Access to applications is limited to The Whole Moment team. Optional testimonial permission is requested separately and is not required to apply.
Hosts and permissions
A host is responsible for inviting contributors and for having the right to share event details, photos, and other materials with us. Contributors should only submit material they are comfortable having the host review and potentially include in that private celebration or its private recap.
Private access
Contribution and recap pages use private links chosen for a specific event. Anyone who receives a working private link may be able to view or add information permitted by that link, so hosts should share links carefully. Host workspaces require sign-in.
AI-assisted curation
We may use AI-assisted tools to organize approved submissions and draft celebration content. The host reviews and controls what is used. These tools are intended to work from submitted material; they are not a substitute for the host’s judgment.
Sensitive and prohibited content
Do not submit unlawful, threatening, hateful, sexually explicit, highly sensitive, or otherwise inappropriate material. Hosts can exclude topics and review or remove submissions. We may restrict material that creates safety, privacy, or legal concerns.
Retention and deletion
Event information remains available while the host keeps the event active. A host can permanently delete an event from its dashboard, which removes the event’s submitted stories, uploaded photos, generated moments, recap access, and related analytics from the application. If you are a contributor or viewer and need content removed, contact us with enough detail to identify the event and contribution; we will review the request with the host where appropriate.
No public marketing use without permission
We do not use your private stories, photos, or submitted content in public marketing without explicit permission from the person authorized to provide it.
